Tools to Maximize Your Potential

As integration specialists, we at REQUORDIT have seen countless ways in which our partner companies are maximizing their human potential through process automation with OnBase as a document management platform. 

Among the main tenets of value that OnBase provides our partners from a business standpoint is improvement in level of service, reduction in operating costs, and minimizing risk. From an IT perspective, OnBase provides further value by being configurable without code, easily scalable, continually enhanced, and easily upgradeable with a wealth of deployment options on premise or in the cloud. 

These core principles that guide every new development in the OnBase software galaxy also apply to internal and external collaboration tools. Below are three tools to maximize the potential of your ability to collaborate digitally within and outside your organization. 

ShareBase

It was not long ago that we seemed bound to the 25MB email attachment limit and transferring larger files was a pain. Now you have no doubt used a file sharing service of some sort. In a recent survey by AIIM, 38% of respondents said that more than half of people in their company have a need to share files externally, but only 35% say that there are cloud-sharing standards in place. If there are no standards, there is an inherent lack of visibility, efficiency, and integration.

Internal collaboration is also important and can benefit from more real-time usage so that changes by one team member can be immediately acknowledged by the other so that the same work is not done twice. The Integrated Office Viewer allows users to view, edit, and co-author Microsoft Office documents (Word, Excel, and PowerPoint currently) stored in OnBase without the Office application installed locally. The viewer is a native component of every OnBase client in use—and is supported both in Windows environments and Mac. 

Not only will this allow users to edit the same document at the same time, but all actions performed will still be noted in the OnBase document history to retain the full audit trail. As most organizations move to Microsoft 365 (100+ Million monthly enterprise users) implementing the Integrated Office Viewer is a no-brainer. 

External Access Client

The External Access Client allows organizations to create OnBase-enabled web portals to provide secure, controlled access to outside users such as customers, vendors, applicants and more. Leveraging intuitive and interactive dashboard interfaces, these users gain self-service access to OnBase content and processes, including form creation and document uploads. Out-of-the box features allow users to request their own accounts and super-users can manage accounts for user groups. For instance, a primary contact at a business partner can manage user accounts for just their own company.
