In business, and especially in Accounts Payable departments, we frequently look ahead. Whether it is projecting gains in quarters to come or mitigating potential risks, effective companies consistently have one eye on the future. It can, however, be difficult to maintain your organizational gaze frontward with the constant onslaught of challenges that a mostly manual process entails. Even if you are using certain applications to improve AP processing, how can you be sure that they are working together in harmony? How can we avoid duplicated effort that wastes countless minutes and therefore hours?

We at REQUORDIT have been automating Accounts Payable solutions with OnBase by Hyland for over 20 years and have seen the impact firsthand to alleviate these concerns and pave the way toward a secure and scalable future.

As new technology is introduced and tested in the proving ground that is the modern business landscape, old technology becomes irrelevant, cumbersome, and could even pose a security risk if used beyond the end of the support window.

At Requordit we support our customers across a variety of OnBase solutions using various modules to maximize human potential through process automation, even those considered ‘deprecated’ by Hyland.

However, we always strongly recommend that as legacy products are sunset by Hyland that our partner organizations strongly consider moving forward with alternative, more modern options. The following is a list of OnBase modules that have been officially marked for sunset or are already deprecated and next steps.

1. Integration for Esri ArcGIS Desktop 

Sunset information and support

The Product end-of-life date for the integration for Esri ArcGIS Desktop is Thursday, June 30, 2022. OnBase Foundation Enhancement Pack 5 will be the last version to test, offer and support this module. Existing customers who remain on supported versions will still receive support based on their maintenance agreements.

Replacement options

Customers can use the integration for Esri ArcGIS Server as an alternative option. This integration provides an OnBase widget that runs inside an Esri Web AppBuilder-created map application, which retrieves and uploads OnBase documents related to Esri Feature Layers.

Customers who add URL links to their map features in the Esri ArcMap application can also use OnBase DocPop links as an alternative option. Please contact your account manager with any questions about these replacement options.

2. Archive Services for Microsoft Sharepoint, Content Connector for Microsoft Sharepoint, and Integration for Microsoft Search

Sunset information and support 
The Product end-of-life date for Archive Services for Microsoft SharePoint, Content Connector for Microsoft SharePoint, and Integration for Microsoft Search is October 31, 2022. Existing customers who remain on supported versions will still receive support based on their maintenance agreements.
 
Replacement options 
Web Parts for Microsoft SharePoint. Please reach out to your account manager.

3. Report Services

Sunset and support information

The Report Services product end-of-life date is Tuesday, December 31, 2019, and it will not be available in future versions of OnBase released after this date. Existing customers that remain on supported versions will still receive support based on their maintenance agreements.

Replacement option: Reporting Dashboards

Hyland is replacing Report Services with Reporting Dashboards, the leading, go-forward OnBase reporting product. Hyland developed Reporting Dashboards to reach feature parity with Report Services and includes a range of improved features and functionality. Future versions following OnBase 18 include a native Report Services conversion tool to convert reports for use in Reporting Dashboards.

4. System Assessment Tool

Sunset information and support
The System Assessment Tool product end-of-life date is Thursday, April 23, 2020. OnBase Foundation Enhancement Pack 3 will be the last version to test, offer and support this module. Existing customers who remain on supported versions will still receive support based on their maintenance agreements.

Replacement options

Work directly with Requordit for a system assessment. Reach out to your account manager.

5. AP Automation for Microsoft Dynamics 365

Sunset information and support

The Product end-of-life date for the Accounts Payable Automation for Microsoft Dynamics 365 is 10/31/21. Existing customers who remain on supported versions will still receive support based on their maintenance agreements.

 Replacement options

Work with your account manager for the best AP Automation solution for your organization. We find that custom builds to your process are often better than ‘one size fits all’ AP solutions anyway.

6. DBUtils

Sunset information and support

The Product end-of-life date for the DBUtils module is Q3/Q4, 2022. Existing customers who remain on supported versions will still receive support based on their maintenance agreements.

Replacement options

Foundation DBUtils is available starting in Foundation EP5. Please work with your account manager with any questions about this replacement option.

7. Full Text Indexing Server for Autonomy IDOL

Sunset information and support
We have been dedicated to supporting existing customers and the product through the end of life date (December 31, 2020) and assisting with transitions to replacement after this date. As soon as possible, customer organizations should discontinue use of the product and migrate to the new Full-Text Search engine.

Replacement option: Full-Text Search

With OnBase 18, Hyland released a replacement product called Full-Text Search, which will be the leading go-forward, high-performing full-text indexing product. This new OnBase search product features improved indexing and search performance, enhanced administration and support for more file formats and languages.

8. Core-based Workflow in the Thick Client

Sunset information and support

The Core-Based Workflow product end-of-life date for the thick client is Saturday, December 31, 2022. Existing customers who remain on supported versions will still receive support based on their maintenance agreements.

Replacement options

Customers who use Core-Based Workflow can still use this module in the OnBase web and unity clients. Application servers will not need to be purchased, as customers already have them to support the core-based interface via the thick client.

9. Document Composition in the Thick Client

Sunset information and support
The Document Composition product end-of-life date for the thick client is Friday, December 31, 2021. OnBase Foundation Enhancement Pack 5 will be the last version to test, offer and support this module. Existing customers who remain on supported versions will still receive support based on their maintenance agreements.

Replacement options
Customers who own Document Composition can still use this module in the OnBase web and unity clients. A unity or web client license will be needed, and a desktop host will be required for preview and editing capabilities in Document Composition in the HTML web client.

10. Integration for AutoCAD (end-of-life 3/8/2021)

Sunset information and support
The Integration for AutoCAD product end-of-life date is Monday, March 8, 2021. It will be available, tested and supported throughout the lifecycle of OnBase Foundation Enhancement Pack (EP) 5. Hyland will not support any additional versions of Integration for AutoCAD beyond what OnBase Foundation EP4 already supports. Existing customers who remain on supported versions will still receive support based on their maintenance agreements.

Replacement options
While there will no longer be an integration for AutoCAD effective Monday, March 8, 2021, customers who use the integration and have the CAD Document Viewer Concurrent Client license will still be able to view DWG files and make notes and annotations by using the unity client CAD Document Viewer product. Customers can also view files without notes and annotations in the web client in OnBase Foundation EP1 and later versions. Please work with your account manager if you require assistance with either of these replacement options.
