1. Upload your documents. You can forward your invoice email to our special email address or upload files using our Secure Management Tool (SMT).


2. We extract data from your documents with OCR. Once we receive your files, our OCR services automatically extract data according to your settings.


3. We validate and export your data. Our professionally trained staff will verify the accuracy of the OCR, make corrections, and ensure your data is ready for you to use.


4. We send you a batch file. When all data is extracted and validated, we will send you and XML or CSV file along with the documents in PDF or TIFF format for you to load them into your core system or directly via our REST API.


5. Integration services. We have a professional team of individuals ready to help you integrate data files into your ERP system.

The CloudOCR solution has been purposely developed with OnBase in mind.  Integrating CloudOCR with OnBase workflow is simple and leverages the power of both solutions seamlessly. CloudOCR delivers either a CSV, XML file, or via our OnBase Connector API along with the documents to process into OnBase in one of three ways. 

The DOCUMENT IMPORT PROCESSOR brings in the documents using the CSV option (for capturing invoice header information only). Documents are retrieved from the folder where the CloudOCR Secure Management Tools has placed the files.

The XML IMPORT PROCESSOR is utilized to support multi instance keyword groups in OnBase for capturing BOL, material, haul, or any document type that has lines items.

The WORKFLOW AUTOMATION/ UNITY APY TOOLKIT is used to import the documents into a specific moment in the lifecycle and call the CloudOCR connector to send and recieve back the documents full indexed. This will submit them into an existing workflow or to attach to a WorkView Application.

REQUORDIT Insight for Viewpoint Vista is a cloud-based workflow for validation and exception handling. It will allow the data that is extracted from CloudOCR to be validated by integrating with the Insight Web Service that is connects to your Cloud or On-Premise Vista solution.

The workflow will validate:

Duplicate Invoices 

Valid PO Number 

Valid Vendor Number 

No Vendor Found 

Set the Batch Month 

Validate the Job Number is Active 

 As the solution is connecting via the Insight web service to your system, these validations are real time.  If there are any issues that are identified, the documents will go to an “Issues” queue for additional processing by your team.

You will be provided the ability to: 

Correct Index data 

Delete the Invoice if Duplicate 

Update New Vendor number 

Correct Job Numbers 

Once all the information has met the validation workflow requirements, the Insight Web Service will transform the data into a Viewpoint Vista formatted file and deliver the data along with the Invoice documents to a folder on your server. Regardless if your server is in the cloud or on premise our web service can easily connect and deliver the data.
