1. Powerful New User Interface
Instead of jumping around to various OnBase modules, the new solution consolidates all end user activities to a single WorkView application that is fully ready to handle your current workload and scale up as you grow without impacting performance. AP Clerks, Purchasing Agents, Project Managers, and other people in your process will all have a tailored experience upon logging in so that they only see what they need to see and are fully empowered to take action in a single, simple interface.
2. (Near) Realtime Connection to Penta
Gone are the days of passing XML files back and forth behind the scenes in order to synch your OnBase system to your Penta data. Now a caching service utilizing the new API will run every minute so that any change in Penta is reflected in OnBase datasets within 60 seconds. So, if an invoice comes in from a new vendor and that vendor is added to Penta, it will be available for selection in OnBase almost immediately.
3. Easier System Administration
Making minor adjustments to various aspects of the legacy solution required changes on the back end by IT. In the new solution we put control in the hands of management to enable or disable a variety of optional queues and functionalities in an easy-to-use control form including duplicate overrides, use of a separate coding queue, use of a final review queue, PO and Subcontract matching logic, and more!
4. Automatic Indexing
Every implementation of the new Penta AP Solution includes CloudOCR, the easy way to capture data. Through email forwarding and scanning alike CloudOCR is an invoice data extraction service that will provide document separation, automated indexing, and even correction by a human verifier before seamlessly passing indexed invoices to OnBase where your team will see them for the first time. This means the first time your team sees an invoice the header data has already been indexed and validated against Penta and is ready for line distribution and coding.
5. Flexible Invoice Coding
In the legacy solution multiple routing forms had to be created for an invoice that had different line types. With the new AP Solution your team can code to multiples of any kind including multiple line types (PO, Job, GL Account, Subcontract, etc.), multiple OU’s, and multiple jobs. Basically you only need a single coding form per invoice no matter what!
6. Reporting Dashboards
The base package for the new AP Solution includes three visual, click-to-filter reporting dashboards that will help you manage the solution and identify bottlenecks in processing.
